Role Description

This is a full-time, on-site role for a Secretarial/ Admin Assistant located in Athens. The Secretarial/ Admin Assistant will be responsible for day-to-day administrative tasks such as handling emails, preparing invoices, and maintaining organized filing systems. They will also support senior accountants in analyzing financial data and providing recommendations for improvement. Moreover, the candidate must have strong interpersonal skills and possess strong business acumen.

Responsibilities

  • Perform general secretarial and administrative duties, including answering phone calls, managing emails, and greeting clients.
  • Organize and maintain files, records, and documents (both physical and electronic).
  • Assist in the preparation of reports, presentations, and financial documents.
  • Manage office supplies, equipment, and handle routine maintenance.
  • Support senior accountants in financial data analysis and assist with bookkeeping tasks as required.
  • Liaise with clients, suppliers, and other stakeholders, ensuring smooth communication and timely responses.
  • Help in organizing company events and meetings.
  • Prepare invoices and credit control.
  • Provide administrative support to various departments as needed.

Qualifications

  • Bachelor’s degree in Business Administration will be considered an asset.
  • A minimum of one year of experience working as an administrative assistant, secretary, or in a comparable position.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
  • Excellent verbal and written communication skills in both Greek and English.
  • Basic understanding of accounting principles or experience in a financial environment is preferred.
  • Ability to work independently and as part of a team, with a proactive and problem-solving mindset.
  • High level of confidentiality, attention to detail, and accuracy.
